Program Director
Responsibilities
The Program Manager is responsible for developing and implementing effective and efficient operational functions of the St. Louis ArtWorks apprenticeship program. The Program manager is responsible for researching, grant writing and the development of new program funding opportunities. Program manager oversees Site Supervisor and program interns.
Reports to
Executive Director. Works with ArtWorks staff to establish and maintain good working relationships with community groups, site hosts, board members, parents/guardians, apprentices, collaborative partners and others to help achieve the goals of ArtWorks. Works with ED to establish and maintain an efficient and well run staff team.
Duties
Pre- Programs
- Assists ED in coordinating youth applications and interviews:
- Schedules with both youth and board
- Correspondence with youth
- Records
- Participates in interviews
- Assists ED in a balanced placing of Apprentices in Artistic Disciplines
- Develops and implements orientation program for apprentices
- Prepares Handbook
- Sets up youth checking/savings accounts for auto deposits
- Produces all materials for orientation
- Develops orientation materials for artists
- Works with ED to implement components of orientation
Program Logistics
Program
- Coordinates the purchase and collection and inventory of program supplies year round
- Spring, Summer & Fall: Oversees arrival and dismissal of apprentices, time varies
- Responsible for approval of all apprentice time sheets, preparing a bi-weekly summary of all hours worked by both apprentices and artists for payment by bookkeeper.
- Creative Futures: Assist ED to oversee program counselor. Responsible for recruitment with Program Counselor of eligible youth. Ongoing entry of CF records and reporting, both online and in individual case files.
- Develop and maintain Youth Council with Program Counselor
- Communicates via email with current apprentices on a weekly basis giving them pay period amount and news of any schedule changes
- Maintains current contact information on all apprentices in all programs
- Tracking of all apprentices for 4 years after they exit the program
- Assist ED and Marketing Manager with drafting commission contracts and timely completion of projects. Maintains clear communication with artists, clients and apprentices about expectations and deadlines for commissions.
Employment Training & Special Events
Working closely with the Program Counselor:
- Designs and implements employment training related activities for all programs
- Solicits and collects in-kind donations for Apprentice awards and raffle items for final sale
- Designs and implements plans and program for special programs such as Fall and Spring Open House, Summer Friends Day and Sale Day-information handouts for guests, pricing art works,
- Develops working resumes with Artists and Apprentices during last 3 weeks of summer program
Evaluation
- Coordinates implementation of evaluation process with Program counselor staff/volunteers
- Collects and maintains evaluation records
Team Building and Relationship
- Key staff person relating to apprentice team members
- Intervenes with apprentice/apprentice issues and first contact for issues between apprentice/artists and host site/apprentice issues
- Maintains close communication with ED about apprentice issues
- Establishes and maintains “rules” of conduct for apprentices
- Works with ED during any disciplinary actions
- Chief contact for Apprentices’ parent/guardian communication
- Keeps a scheduled visit to each discipline once a week for update of all Apprentice issues, resume instruction and evaluation questions
- Responsible for set up of and transportation to all field trips
- Maintains close relationship with contract artists and clients to complete commissions
- Participates in activities as assigned by ED, including coordination of board/donor visits to program, fundraising events.
Grant/Development Reporting: Responsible for assisting ED in timely grant reports and preparation of grant materials. Research and write new grants.
Needs basic understanding of accounting and budgeting systems
After the Programs:
Completes all correspondence with community partners and updates all program records
Knowledge in:
Microsoft Excel, Word, Access, internet, Quickbooks, Outlook
Must have reliable personal transportation to be able to visit job sites and perform recruitment responsibilities
