Marketing and Communications Coordinator

Position Description

Plans and coordinates events across all divisions of United Way, including social, networking and “thank you” events for Leadership donors; board meetings; annual luncheon; GenNext events; major Volunteer Center events such as Servathon and Volunteer Week; allocation meetings; and the Victory celebration. Works with representatives from all divisions and regions to evaluate needs, develop event strategy, coordinate details and implement planning. Provides support to the graphics design function including creating basic materials/PowerPoint presentations. Provides administrative support to the division in tracking invoices, advertising and co-branding efforts.

Specific duties:

  • Work with representatives from all divisions of United Way, in all regional offices
  • Schedule and confirm venue and décor arrangements
  • Recruit and confirm speakers as needed
  • Work with other members of marketing/communications to develop print, media and online materials for each event as needed
  • Produce and/or coordinate production of basic materials for events, such as signage or PowerPoint presentation
  • Arrange and confirm catering
  • Work with internal client to script each event
  • Arrange and confirm photographer and/or videographer for events where needed
  • Serve as a liaison between internal client and vendors
  • Develop positive working relationships with outside vendors
  • Handle ticketing for special promotions, such as Power Play for United Way (with the St. Louis Blues) and Night at the Ballpark (with the St. Louis Cardinals)
  • Responsible for tracking all invoices and expenses against budget
  • May staff trade show and promotional events, as needed
  • Primary point of contact for internal customers initiating work within the department or checking the status of jobs already in progress
  • Assists with the daily operations of the marketing groups, ensuring smooth and efficient workflow
  • Hands-on involvement in a variety of marketing logistics and requirements, including event production, set-up and tear down, booth scheduling and shipping, collateral coordination and premium ordering
  • Other duties as assigned

Required skills, education and experience:

  • Bachelor’s degree with concentration in event planning, communications or related field
  • Significant competency in Microsoft Office desktop applications, including Word, Excel and PowerPoint
  • Moderate graphic design ability, especially with Adobe CS3 software (InDesign, PhotoShop and Illustrator)
  • 1-3 years of professional experience in event planning, communications, marketing or related field
  • Demonstrated ability to handle multiple projects and details simultaneously. Requires self-direction, tact, diplomacy and a clear, courteous and professional manner when dealing with the public. Must demonstrate effective oral communication skills and the ability to work cooperatively with staff inside and outside of the department. Strong writing skills. High energy level and sense of humor essential. Understanding of UW and its goals.
  • Must be able to bend, stoop & lift at least 20 lbs. Must be able to sit for extended periods, using computer hardware (keyboard, mouse, etc.)
